Meeting room technology that doesn't fall over on the first call
New meeting room hardware demos beautifully in the showroom and then freezes on the first real client call. The gap between the two is almost always network capacity and configuration, not the hardware itself.
Meeting room technology gets bought as a single purchase — a camera, a speakerbar, a screen — and treated as though plugging it in is the whole project. In practice, the hardware is the easy part. What determines whether that room actually works under real conditions is the network capacity behind it and how the room system is configured to use it.
Bandwidth for the room, not just the building
A building-wide internet connection that comfortably handles normal office traffic can still be insufficient the moment three meeting rooms run simultaneous video calls at business hours. We size bandwidth and QoS prioritisation around concurrent meeting room usage specifically, not just average office demand.
Teams Rooms and platform certification matter
Not every camera-and-speaker combination that claims Teams or Zoom compatibility is actually certified for it. Certified Teams Rooms hardware goes through interoperability testing that uncertified hardware skips entirely, which is where a lot of the "random freezing" complaints we get called out for actually originate.
Wi-Fi versus a wired room
Where possible, we wire meeting room video systems directly rather than relying on Wi-Fi, because a boardroom is exactly the kind of high-density, high-stakes environment where wireless contention is most likely to show up as a stutter mid-call. Where wiring isn't practical, the room needs to be accounted for specifically in the Wi-Fi design, not left to share capacity with everything else on that floor.
One-touch join, properly configured
Most of what frustrates users in meeting rooms isn't call quality at all — it's the five minutes lost figuring out how to join. Configuring one-touch join and calendar integration correctly on day one removes almost all of that friction, and it's one of the cheapest parts of the whole project to get right.
